Bloom Social Rental Terms & Conditions

By reserving and renting floral decor from Bloom Social, you agree to the following Terms and Conditions. These policies ensure a seamless, elegant, and stress-free rental experience for your special event.


1. Payment Terms

Payment Options

Payment is due in full at checkout unless you choose Shop Pay, a third-party service allowing you to split your payments into four installments (subject to approval).

Final Balance

If you are adding a customization package or an additional setup location, payment for those services is due upon selection. The remaining balance for your order must be paid in full no later than 30 days prior to your event.

If the balance is not paid by the deadline:

  • Your contract may be canceled at Bloom Social’s discretion.
  • If Bloom Social agrees to continue service after the due date, a 10% late fee will be added, with an additional 10% per 7-day period until payment is received.
  • Any extra costs incurred due to late payment will be billed to you.

Additions & Changes

  • Additions may be made up to 7 days before the event, subject to availability.
  • Payment for additions is due within 24 hours of confirmation.
  • While we will do our best to match style and color, substitutions may be necessary based on product availability.

2. Product Disclaimer

All our floral arrangements are made with high-quality artificial flowers designed to resemble real blooms. They are named after real flowers for reference but are entirely faux.


3. Substitutions and Customization Policy

At Bloom Social, our arrangements are carefully curated to deliver a cohesive, high-end design. We offer limited customization options, and we reserve the right to make substitutions as needed.

Customization

  • You may request to add up to two additional colors to select designs for an additional customization fee.
  • No flowers may be removed or substituted from the original base design.
  • Customization is additive only—we maintain the original integrity and fullness of our arrangements.
  • All rentals remain the property of Bloom Social. You do not get to keep any part of the floral setup.
  • Customization requests must be submitted at least 4 months in advance to allow time for sourcing and incorporating special-order artificial florals.
  • All custom additions are subject to availability. We aim to match your vision as closely as possible, but minor variations may occur.

Substitutions

Bloom Social reserves the right to make substitutions if an item is unavailable, delayed, or fails to meet our quality standards. In these cases:

  • The overall look, style, and color palette will be maintained.
  • Substitutions will use items of equal or greater value.
  • Bloom Social is not responsible for staining if dyed artificial flowers are used.

4. Setup & Handling

Delivery & Pickup

  • Free delivery, setup, and pickup are included within 20 miles of Eden Prairie, MN.
  • A travel fee of $2 per mile applies for venues beyond 20 miles, up to a maximum of 35 miles.
  • Pickup must occur before 9:00 PM on the event date. Late pickups will incur the following fees:
    • 9:30 PM – $50
    • 10:00 PM – $100
    • 10:30 PM – $150
    • 11:00 PM – $200
    • 11:30 PM – $250
    • 12:00 AM – $300

Moving Items During Your Event

  • Your rental includes one setup in one location.
  • If any item needs to be relocated (e.g., from ceremony to reception), an additional moving/setup fee will apply.
  • Only Bloom Social staff may handle, transport, move, or disassemble any rental items. This policy is in place for safety, insurance coverage, and to protect the integrity of our designs.
  • Most items—especially arches, floral pillars, and backdrops—are oversized and delicate and require professional handling.

5. Product Care & Responsibility

  • No items may be left outdoors overnight.
  • Arches and large structures must not be exposed to rain. If poor weather is expected, Bloom Social reserves the right to remove rentals early.
  • No one other than Bloom Social staff may move or alter any decor unless you have received prior written approval.
  • Any damage beyond normal wear and tear will result in a charge equal to 3x the rental price of the item.
  • Items not returned within the rental period will be charged 4x the rental price and will become the property of the renter.
  • Your payment method will be securely stored for the duration of the rental and deleted once all items are returned in proper condition.

6. Venue Requirements & Restrictions

  • It is your responsibility to ensure that your venue can accommodate Bloom Social’s rental items. We are happy to provide item dimensions upon request.
  • Bloom Social is not responsible for items that cannot be installed due to venue limitations not disclosed in advance.
  • Bloom Social is not responsible for the appearance or compatibility of any non-Bloom Social decor used at your event.
  • If decor coordination or adjustments are needed for consistency, Bloom Social is not liable for the outcome.

7. Cancellations & Rescheduling

  • All payments and retainers are non-refundable, regardless of the reason for cancellation.
  • In the event of a natural disaster, pandemic, or emergency within 90 days of your event, you may reschedule once at no additional charge, subject to availability.
  • If Bloom Social must cancel the contract for any reason, we will refund payments minus any actual costs incurred up to that point.

8. Liability & Damages

  • Bloom Social is not liable for any injury, loss, damage, or delay caused by the use or handling of our products by clients, guests, venue staff, or third parties.
  • You assume full responsibility for all rental items once they are delivered and installed.
  • If items are damaged, lost, or stolen, you will be charged 3x the rental cost for each item.
  • Items not returned on time will be charged 4x the rental price and become the renter’s property.
  • Bloom Social reserves the right to charge the credit card on file for any damages or losses.

9. Arbitration Clause

Any disputes or claims arising out of or related to this agreement shall be resolved by binding arbitration administered by the American Arbitration Association under its Commercial Arbitration Rules. The arbitration will take place in Hennepin County, Minnesota, before a single arbitrator. Judgment on the arbitration award may be entered in any court of competent jurisdiction.
